PRIVACY POLICY

1. INTRODUCTION
MeadowTech LLC ("MeadowTech," "we," "us," or "our") operates the website at https://www.meadowtech.co/ (the "Site"). This Privacy Policy describes how we collect, use, disclose, and protect personal information obtained through the Site.
This Policy applies to all Site visitors. It does not govern personal information MeadowTech processes as a managed service provider on behalf of its business clients, which is governed by separate data processing agreements and service contracts. A schedule of third-party services used in our managed service delivery is available at https://vendors.ourterms.live/MeadowTech.
By using the Site, you acknowledge the practices described in this Policy. If you do not agree, please discontinue use of the Site.

2. INFORMATION WE COLLECT
2.1 Information You Provide Directly
Contact and Inquiry Forms: Name, business name, email address, phone number, job title, and message content.
Pricing Calculator: Our Site includes a custom interactive pricing calculator. Information you enter — including name, email, company name, organization size, and technology environment details — is collected by MeadowTech and transmitted to our CRM and marketing platforms. Submitting information through this tool constitutes direct disclosure to MeadowTech and the third-party platforms listed in Section 4.
Scheduling (Reclaim.ai by Dropbox): Name, email address, and calendar availability submitted when booking a meeting.
2.2 Information Collected Automatically
When you visit the Site, we and our third-party providers automatically collect:

IP address, browser type and version, operating system, and device identifiers
Pages visited, time on page, referring URL, and clickstream data
Unique identifiers assigned through cookies, pixel tags, and similar tracking technologies (see Section 5)

2.3 Information Collected Through Intercom (Live Chat and AI Features)
The Site uses Intercom for live chat and AI-assisted messaging. Intercom installs a tracking cookie on your browser upon page load and independently collects browser and behavioral data from all Site visitors, regardless of whether you initiate a chat. If you engage with the chat, Intercom also collects your name, email, and the full content of your conversation.
Regarding AI processing: Intercom's AI features temporarily use conversation data solely to generate responses. Intercom's third-party LLM providers do not store conversation data and are contractually prohibited from using it to train or improve their models. Data is deleted after response generation.
Do not submit protected health information, sensitive financial information, or confidential business data through the chat interface.
2.4 Domain Information (EasyDMARC Widget)
The Site includes an email domain security checking tool powered by EasyDMARC. This widget collects only the domain name you submit for analysis. Where a domain name can be linked to an identifiable individual, it may constitute personal information under applicable law.
2.5 Information We Do Not Intentionally Collect
The Site is not directed to children under 18, and we do not knowingly collect personal information from minors. Do not submit Social Security numbers, financial account credentials, protected health information, government-issued identification numbers, or biometric data through the Site.

3. HOW WE USE YOUR INFORMATION
We use personal information collected through the Site for the following purposes:

 

  • Responding to inquiries and contact form submissions

  • Following up on pricing calculator submissions for sales and service purposes

  • Scheduling consultations via Reclaim.ai at your request

  • Operating live chat and AI-assisted messaging via Intercom

  • Sending marketing communications where permitted or consented to

  • Analyzing Site traffic and user behavior via Google Analytics

  • Delivering targeted advertising and retargeting via Meta and LinkedIn

  • Managing subscriptions and billing via Chargebee

  • Performing domain security analysis via the EasyDMARC widget at your request

  • Fraud prevention, security, and legal compliance


We do not sell personal information for money. We may share personal information with advertising platforms for cross-context behavioral advertising, which may constitute "sharing" or a deemed "sale" under California and Colorado law. See Sections 5 and 6 for opt-out rights.

4. THIRD-PARTY SERVICE PROVIDERS
The following providers collect or receive personal information through their integration with the Site. Each processes data under its own privacy policy, which we encourage you to review directly.

Important disclosures regarding specific providers:
The Meta Pixel and LinkedIn Insight Tag operate on our Site and collect browser and behavioral data on every visit, regardless of whether you have an account with those platforms. Both companies use this data for their own advertising and analytics purposes.
Google Analytics collects behavioral data via cookies and tracking identifiers. You may opt out at https://tools.google.com/dlpage/gaoptout.
Intercom installs a tracking cookie on page load regardless of whether you engage with the chat widget. The Intercom messenger uses AI to generate responses to your queries. You should not submit sensitive personal information through the chat interface.
Pricing calculator submissions are transmitted in real time to our CRM and marketing platforms and used for sales follow-up and marketing purposes.

5. COOKIES AND TRACKING TECHNOLOGIES
5.1 Types of Tracking Technologies in Use
Strictly Necessary (Wix): Required for core site functionality and cannot be disabled.
Analytics (Google Analytics): Used for traffic measurement and user behavior analysis.
Advertising (Meta Pixel, LinkedIn Insight Tag): Used for conversion tracking, retargeting, and cross-context behavioral advertising.
Functional (Intercom, Reclaim.ai, EasyDMARC): Used for chat session persistence, meeting scheduling, and domain security analysis.
5.2 Managing Your Preferences
You may manage cookie consent through the consent banner on this Site. Additional opt-out mechanisms are available as follows:

Global Privacy Control (GPC): We honor GPC browser signals as a valid opt-out of the sale and sharing of personal information for Colorado residents, as required by the Colorado Privacy Act since July 1, 2024, and for California residents under the CCPA/CPRA.
Do Not Track: We do not respond to browser Do Not Track signals. Your cookie consent banner choices are the operative mechanism for controlling tracking on this Site.

6. COLORADO PRIVACY RIGHTS (COLORADO PRIVACY ACT)
The Colorado Privacy Act (C.R.S. § 6-1-1301 et seq.) has been in effect since July 1, 2023. Colorado residents have the following rights regarding their personal data:
Access: Request a copy of personal data we hold about you in a portable format.
Correction: Request correction of inaccurate personal data we maintain about you.
Deletion: Request deletion of personal data we collected from you, subject to applicable exceptions.
Opt Out of Targeted Advertising: Opt out of the processing of your personal data for cross-context behavioral advertising.
Opt Out of Sale: Opt out of the sale of your personal data to third parties.
Opt Out of Profiling: Opt out of profiling that produces legal or similarly significant effects.
Appeal: If we decline your request, you have the right to appeal. We will respond to appeals within 45 days.
We will respond to all verified requests within 45 days of receipt, extendable by a further 45 days where reasonably necessary, with notice provided within the initial period. We will not discriminate against you for exercising any of these rights.

7. CALIFORNIA PRIVACY RIGHTS (CCPA / CPRA)
This Section applies to California residents and supplements the rest of this Policy.
7.1 Categories of Personal Information Collected
In the preceding 12 months, we have collected the following categories of personal information from California residents: identifiers such as name, email address, IP address, and cookie identifiers; internet and electronic activity including Site browsing behavior and interactions; professional and employment information such as company name and job title; commercial information relating to services inquired about; and general geolocation data inferred from IP address. We do not intentionally collect sensitive personal information through the Site.
Of these categories, identifiers and internet/electronic activity are shared with Meta, LinkedIn, and Google for cross-context behavioral advertising purposes. All other categories are used solely for internal business operations.
7.2 Your California Rights
California residents have the right to know what personal information we have collected and how it is used, to delete personal information we hold, to correct inaccurate personal information, to opt out of the sale or sharing of personal information, to limit use of sensitive personal information, to receive personal information in a portable format, and to be free from discrimination for exercising any of these rights.
7.3 Sale or Sharing of Personal Information
We do not sell personal information for money. The disclosure of personal information to Meta and LinkedIn for behavioral advertising may constitute "sharing" under the CCPA/CPRA. California residents have the right to opt out of this sharing. To exercise this right, use your GPC browser signal, the platform-specific opt-outs listed in Section 5, or email info@meadowtech.co directly. A "Do Not Sell or Share My Personal Information" link is available in the footer of this Site.
7.4 Do Not Track
We do not respond to browser Do Not Track signals. This disclosure is made pursuant to the California Online Privacy Protection Act (CalOPPA).
7.5 Shine the Light
California Civil Code § 1798.83 permits California residents to request information about our disclosure of personal information to third parties for direct marketing purposes. To make such a request, contact us at the address in Section 11.
7.6 Submitting a Request
Email info@meadowtech.co with your request. We will respond within 45 days of receipt of a verified consumer request.

8. HIPAA NOTICE
MeadowTech provides managed IT services to organizations that may include HIPAA-covered entities and business associates. This Privacy Policy governs the Site only. It does not govern protected health information ("PHI") processed by MeadowTech under client engagements, which is governed exclusively by applicable Business Associate Agreements and MeadowTech's internal HIPAA policies.
Do not submit any PHI — including patient names, diagnoses, treatment information, insurance identifiers, or medical record numbers — through this Site, its forms, the Intercom chat interface, or the pricing calculator. This Site does not operate in a HIPAA-compliant data collection environment, and submission of PHI through it may expose that information to third-party systems not subject to HIPAA protections.

9. DATA RETENTION
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, comply with legal obligations, and resolve any disputes.
Contact form submissions and pricing calculator submissions are retained for the duration of the business relationship plus three years. Intercom chat transcripts are retained per Intercom's retention terms; conversation data processed by Intercom's AI features is deleted after response generation. Google Analytics data is retained for 14 months under GA4 default settings. Meta Pixel and LinkedIn Insight Tag data are retained per each platform's own retention policies. Reclaim.ai scheduling data is retained per Reclaim.ai and Dropbox retention policies. Payment records processed through Chargebee, Stripe, and GoCardless are retained in accordance with applicable financial recordkeeping law, typically seven years. EasyDMARC domain query data is retained per EasyDMARC's retention policy.

10. ADDITIONAL DISCLOSURES
Data Security: MeadowTech implements administrative, technical, and physical safeguards appropriate to the nature of the personal information we collect. No method of internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security. In the event of a data breach affecting your personal information, we will notify you as required by the Colorado Security Breach Notification Act (C.R.S. § 6-1-716) and any other applicable law.
Automated Decision-Making: Intercom's AI features generate automated responses to chat inquiries for initial handling purposes only. These responses do not constitute decisions affecting your legal rights or access to services. You may request human follow-up at any time by emailing info@meadowtech.co.
Third-Party Links: The Site contains links to third-party websites. We are not responsible for the privacy practices of those sites, and their inclusion does not constitute endorsement.
Business Transfers: In the event of a merger, acquisition, or sale of assets, personal information may transfer to a successor entity subject to the protections described in this Policy.
Changes to This Policy: We will update the "Last Updated" date at the top of this Policy when material changes are made. Continued use of the Site following the posting of changes constitutes your acknowledgment of the revised Policy.
